Process Mapping is a visual, collaborative planning tool that provides insight and helps teams brainstorm ideas for process improvement.
Using Process Mapping, we take you on a journey through your current systems. Looking at your current processes and systems with your team, we delve into what is working, what isn’t (and why) and design a system that will give you exactly what you want and need.
- Communicate how a process works in a concise and straightforward way.
- Allow teams to easily understand how to complete a given process, without lengthy verbal or written explanations.
- Show how the entire process works and identify inefficiencies or make improvements.
We use Process Mapping to visualise any type of process.
We start with the ‘As Is‘ map. This is a visual map of what you are currently doing to deliver a process. We collaborate with the people in your organisation that are responsible for that process. The ‘As Is‘ captures the who, what, how, when, why and where of the process. We create the ‘As Is‘ map with you in the Process Mapping Workshop; where we also discuss, explore and overlay potential strategic systems improvements to the current process. This informs the ‘Should Be‘ map.
The ‘Should Be‘ map is the future state, with all the system efficiencies and enhancements that will improve your process end-to-end. These efficiencies and enhancements have been co-designed by the people that deliver the process and the Creative Analysis team; having considered all the internal and external point of views and organisational objectives.
The ‘Should Be‘ map is also used throughout the digital change project in systems prototyping and testing phases, and the technical build and delivery phases. It can also be used within your organisation for the purpose of training, business continuity and ongoing organisational improvements.

STEP 1: IDENTIFY WHAT PROCESS TO MAP AND WITH WHO
Based on the objectives of your digital transformation, together we will agree the process that needs to be mapped and identify those within your organisation that need to be part of the Process Mapping Workshops. We highlight the people or team representatives that are directly involved in the delivery of the process being mapped. Participants are fully briefed beforehand about what and how to prepare. We offer 1-2-1 coaching sessions to all participants who wish to fully engage with the content on the dynamic collaboration platform (Miro) that we use during live mapping.
STEP 2: COLLABORATIVELY MAP THE ‘AS-IS’ PROCESS
During the Process Mapping Workshop, our mapping facilitators journey through your organisation with those who live and breathe your systems day to day. We capture all the key systems information and thoughts on improvement potential as well as pain points. We will be Process Mapping with you live throughout the 2-hour workshop; creating your ‘As-Is’ map of the process, using Miro and Zoom. You will have full access, editing rights and eventual ownership of the Design Hub that we set up for the duration of the project.
STEP 3: REALISE THE ENHANCED ‘SHOULD-BE’ PROCESS
The Creative Analysis Directors review the completed ‘As-Is’ map, and based on the information provided during the Process Mapping Workshop, make informed decisions and recommendations for your digital transformation. We produce a ‘Should-Be’ process map that visually illustrates how the Zoho systems could work within your current technical estate, and what the core deliverables are. This is played back to the key stakeholders in a collaborative Retro & Review session, that includes a Q&A and discussion about the next steps.
